Our cancellations and refund policy.
Refunds are not given in any circumstances. In the unlikely event that a term or remainder of a term is cancelled by the School the Student will be refunded the full amount for the number of cancelled classes.
If the Student is unable to attend a lesson, they are to notify Japanese Melbourne by phone 04 30 103 660 or email admin@japanesemelbourne.com.au as soon as is possible. If the Student intends to have a make-up lesson individually, please see below for options.
Rescheduling/Cancellation policy:
Group lessons:
Prior notice given by Student=> Catch-up lesson $27.50/hr
No notice and no catch-up lesson required => Lesson fee is forfeit
Switching between group classes is not allowed. If you need to change your class time permanently (depending on availabilities), there will be an administration fee of $22.
Private lessons:
More than one weeks notice => free rescheduling is available*
Less than one weeks notice => $22 rescheduling fee
No notice => Lesson fee is forfeit
* Free rescheduling is available as long as it is still within your 8 week invoice period. Ask admin for available times.
8-week discount price vs. casual rate:
Our 8-week discounted price is only for students who sign up for a set time for 8 straight weeks*. If you sign up for the package price, your 8 week period will be written on your invoice, i.e. Week 13 - Week 20. The calender with the week numbers can be found on our website.
If you know that you will need to miss a few classes, it may be cheaper to pay the casual rate.
If you choose the casual rate the prices are a little higher, but you only pay for the classes that you attend. The fee for each class needs to be paid one(1) week in advance. However even for casual classes, a cancellation within 1 week is still considered a missed class and a catch-up lesson may be taken or the lesson fee is forfeit.
You can change from the 8-week package to the casual rate retrospectively. In other words, if you started with the package price but you can't attend the classes anymore you can still change to the casual rate. The classes that you have taken (or missed with less than 1 weeks notice) will be charged at the casual rate, and the remaining money will be credited to your account for future lessons. Refunds are not given.
* It is also available for intensive private classes as long as they are finished within an 8 week period.
The legal stuff.
General
Japanese Melbourne offers Japanese language classes over six terms per year. Each term runs for eight weeks. Students have the choice to participate in group classes or individual classes. Students can also come as casual participants and pay for each lesson as they go.
I. Agreement
This agreement constitutes a binding contract between the Student and Japanese Melbourne. The Agreement is made up of these terms. You must ensure that you read, understand, and abide by the Agreement. Students under 18 years of age must have a parent or guardian co-sign the Enrolment form before their application will be approved. Payment of fee and/or attendance of lessons are considered acceptance of this agreement.
II. Location
All classes will be held at Level 6, 258 Little Bourke Street, Melbourne in the state of Victoria.
III. Payment
All fees to be paid must be in Australian currency. We reserve the right to refuse entry into a lesson if fees are not up to date. Fees are not transferable to another student. Fees are not transferable to another term or teaching period.
III (a). Term fees
Term bookings require a non-refundable and non-transferable $50.00 deposit at the time of booking. This payment can be made in cash, card, by cheque or by direct debit into the Japanese Melbourne Account Payment of the balance of fees for the term may be made in full prior to the commencement of the term, or in two separate payments paid 60% upfront, and 40% in the 4th week of classes.
III(b). Single lesson fee
Payment of all fees for single lessons must be made at the time of booking the single lesson. Payment can be made in cash, by cheque or by direct debit into the Japanese Melbourne Account.
IV. Enrolment
If the Student has purchased a term package, their enrolment commences on the first date of the school’s term; provided that:
a) the Student has returned a completed Enrolment Agreement Form or provided their contact details; and
b) we have received a deposit for the Student's lessons.
V. Privacy Statement
In processing your Enrolment and throughout your Enrolment period we obtain personal information about you. The School will only use, disclose or deal with such information to the extent specifically required by law or for the purposes of this Agreement and/or your Enrolment.
VI. Policies
Students agree to comply with lawful directions and policies of Japanese Melbourne.
We reserve the right to change the teacher at any given time with or without notice. Teachers cannot be specified by students for group lessons. Private students may pay a $50 fee per 8-week invoice to specify their teacher, but this is also subject to class availability. This fee will be passed onto the teacher.
VII. Ongoing enrolment
If a Student has been enrolled in the term prior to the term he/she wishes to apply for; or has been enrolled at some stage in the same calendar year of the term he/she wishes to apply for, the Student does not need to provide another signed Enrolment Form and the same terms and conditions will apply.
VIII. Cancellation and refund policy
The $50.00 deposit and term fee is not refundable and not transferable. In the unlikely event that a term or remainder of a term is cancelled by the School the Student will be refunded the full amount for the number of cancelled classes. If the Student is unable to attend a lesson, they are to notify Japanese Melbourne by phone 0430 103 660 or email admin@japanesemelbourne.com.au as soon as is possible. If the Student intends to have a make-up lesson individually, the Student will incur a fee of $27.50 per lesson. If Japanese Melbourne cancels a lesson they will arrange a make-up lesson and advise the Student of the new time and date. Japanese Melbourne reserves the right to cancel your enrolment without any warning or notice for serious inappropriate behaviour that is anti-social, offensive or dangerous.
IX. Contract transfer by the School
We may transfer our rights and obligations under this Agreement to a third party without notice and you will continue as a student.
X. Variation
This agreement may be varied from time to time at the discretion of Japanese Melbourne. The Student will be advised of any such changes in writing 30 days before the changes come into effect. Such changes may include the increase of fees from one term to another. Any changes that the Student has not been advised of will not be valid.
XI. Miscellaneous
If part or all of any provision of this Agreement is deemed void or unenforceable, it may be severed from this Agreement and the provisions that remain will continue in force unconditionally. If the School does not enforce any rights in this agreement for any reason, the School does not waive its right to enforce it later.
